Which trips does a new joiner need in the first weeks?
A new hire in Dubai has no car, no UAE driving licence and often no idea where the office is. HR ends up arranging the same few trips for almost every joiner.
| Trip | When | What HR needs to send |
|---|---|---|
| Airport pickup | Day of arrival | Flight number, terminal, arrival date, joiner’s mobile |
| Medical fitness test | Usually in the first days after landing | Appointment time and centre address from the PRO |
| Emirates ID biometrics | After the visa application, on the appointment date | Appointment time and ICP centre address |
| Daily commute | First weeks until the joiner has their own car | Building name, office address, start time |
| Weekend orientation | Optional, first Friday or Saturday | Area, hours, number of passengers |
Your PRO or visa agent owns the paperwork steps. Transport only has to be at the right door at the right time. For the visa side, read what each UAE visa type allows.
Arrival day: meet and greet at DXB, DWC or Zayed International
Most joiners land at Dubai International (DXB). Emirates passengers arrive at Terminal 3, and our Terminal 3 arrivals guide shows where the chauffeur waits. Al Maktoum International (DWC) is about an hour’s drive from Downtown. Zayed International in Abu Dhabi is a long haul, roughly 130 to 150 km by road from Dubai depending on the district.

Send HR’s booking details the day before:
- Full name as on the passport, for the name board.
- Flight number and date. The chauffeur tracks the flight, so a delay is absorbed.
- Terminal, if the airline has not confirmed it.
- The joiner’s mobile number, and a company contact for the chauffeur.
- Drop-off address, and the number of suitcases.
Relocating staff often carry more than one large bag. A sedan takes 3 passengers and fewer cases than a van, so book a van for a joiner with a spouse and children. Our airport pickup service covers every UAE airport.
If the joiner enters on a visit visa and the employer converts it later, the guide for arriving on a visit visa explains what to carry.
Getting to the medical fitness test
The medical fitness test is part of a residence visa for most adult joiners. The PRO or the visa approval tells the joiner which centre to attend. We do not list centres here, because the right one depends on the emirate and the visa channel.
What to plan around the appointment:
- Book the car for the appointment time, with a return trip to the hotel or flat.
- Ask for the driver to wait, not drop and leave. Queue times at test centres vary through the day.
- Give the joiner the passport and the application receipt the centre asks for, and put the driver’s number in the same message.
A waiting-time booking is cheaper to plan than two single transfers when the centre is in a busy district such as Deira, Bur Dubai or Barsha. Our private driver service bills hourly for this.
Emirates ID biometrics appointments
The UAE Government portal says a resident might need to visit an ICP customer happiness centre to give biometric details. The appointment shows the address and time. Treat it like the medical test: a car in and a car back, with the driver waiting.
Two things go wrong. The joiner turns up without the passport or the receipt, and has to return. Or the appointment falls in the hour when the centre is busiest. Ask the PRO for a morning slot, and book the car 30 minutes earlier than you think you need.
Temporary housing to the office: the first-week commute
Most companies put a joiner in a serviced or hotel apartment for the first two to four weeks. Areas such as Barsha Heights, Downtown and Dubai Marina are common choices.

A fixed morning pickup works better than a taxi app for a new joiner:
- The same car and driver collect from the same door each morning.
- The driver knows the office entrance and the parking or drop-off point.
- HR sees every trip on one invoice line.
During Ramadan, office hours and traffic patterns shift. Check Ramadan timings in Dubai before you fix a start time.
When can the new hire drive? Licence conversion by nationality
A resident needs a UAE driving licence. Whether a foreign licence can be exchanged is an RTA decision made by the country that issued the licence, and some countries need extra paperwork or fresh tests. The RTA site lists driving licence exchange under Drivers licensing. HR should send the joiner there before arrival.
Until the licence is issued, keep the chauffeur booking running. If the joiner will drive a company car later, tell the driver and the fleet team the date the licence is expected.
One-page checklist for HR
- Flight details sent to the chauffeur 24 hours before landing.
- Terminal and drop-off address confirmed.
- Medical test appointment, centre address and car booked, with return.
- Emirates ID appointment and car booked, with return.
- Commute pickup set for week one: building, office, time.
- Licence route checked with the RTA.
- Company account set up so every trip lands on one invoice. See how corporate chauffeur accounts work.
