What do destination wedding guests need from the hosts?
Guests travelling to Dubai for a wedding need five things from the hosts: a visa answer, a hotel, a pickup, a way to the events and a plan for the free day. Most arrive after a long flight and do not know the city. They will not search for shuttles. They will follow one sheet.
The plan below runs in five steps. Do them in order, because each depends on the one before.
- Check visa needs by nationality.
- Collect every flight.
- Book airport pickups.
- Run event shuttles.
- Offer a free day, then send the guest sheet.
Visas: which guests need one before they fly?
Visa rules depend on the passport, so you cannot give one answer to the guest list. The UAE government says:
- GCC citizens do not need a visa.
- Some nationalities get a visa on arrival, and others must apply before they travel.
- The list changes from time to time.
- Passports need at least 6 months’ validity from the date of entry.
Group guests by passport on a sheet and ask each to check with their airline or the UAE embassy. The government says tourist visas are arranged by airlines, hotels and licensed travel agents, so the hotel block is often the simplest route for guests who need one. We do not give visa advice here: read our UAE visa on arrival guide and UAE visas explained, or see the visas page. Assure also handles visa applications, which suits a group of guests with the same passport.
Ask for passport details and flights by a single date, about 8 weeks before the wedding, to leave time for any application.
Hotel blocks: where to put guests
Two choices keep shuttles simple: one hotel, or two hotels in the same area.
| Option | Pickup points | Effect on shuttles |
|---|---|---|
| One hotel, near the venue | 1 | One loop, the fewest vehicles |
| Two hotels, same area | 2 | Same loop, one extra stop |
| Hotels in different areas | 2 or more | Separate loops for each |
Ask each hotel for a room block with a cut-off date and a set rate. Put the elderly guests and families with children in the hotel with the shortest drive. DXB to Dubai Marina is about 37 km and 42 minutes in free flow (OSRM, OpenStreetMap), so a Marina block means a long first day from DXB. Hold the venue and the hotel drive times in the sheet so guests know what to expect.
Airport arrivals and departures
Guests arrive over 2 or 3 days at DXB, Sharjah, Al Maktoum or Abu Dhabi. Dubai Airports lists Terminal 3 for Emirates and select flydubai, United and Air Canada flights, the D Gates at Terminal 1 for most other airlines and the F Gates at Terminal 2. Read the terminal from the e-ticket.

Dubai Airports has no pick-up area at arrivals. The chauffeur holds a name board in the arrivals hall and walks guests to the car park. Our airport pickups for wedding guests guide covers the flight sheet, grouping rules and VIP welcomes, and the airport transfers page lists each airport.
For the flights home, Dubai Airports asks passengers to arrive at least 3 hours before departure. Add the drive from the hotel to that time, then list the pickup in the guest sheet.
Event-day shuttles
Run shuttles for every event guests attend: the welcome dinner, the ceremony and the reception. Do not leave them to taxis, because 60 guests leaving a reception at once will not find 15 cars.
- Hotel to venue: one pickup point per hotel, a sign in the windscreen, a coordinator in the lobby.
- Back to the hotel: a loop with a fixed last departure.
- Vehicles: a V-Class for 6, a Sprinter for 13 or 19, and coaches for 35 or 50, as in our wedding guest shuttle guide.
Our van and group transport and minibus rental pages list the classes. The couple’s own cars and family cars sit under wedding car hire. For a venue outside Dubai, the Ras Al Khaimah wedding transport guide covers the longer run.
The free day: tours guests can book
The free day is usually the day after the wedding, and it is also a departure day for some guests. Offer two options with a booking date, so Assure can quote one chauffeur-driven vehicle per group:

- A Dubai city tour for guests who want a half day.
- A private desert safari for families, with pickup from the hotel.
- A day in Hatta, about 109 km each way from central Dubai (OSRM, OpenStreetMap), which needs a full day.
Browse the full list on the tours page. Couples who plan to stay on for a honeymoon can read the honeymoon with a private driver guide.
The guest travel sheet: a template
Send the sheet 4 weeks before the wedding and again 3 days before, in the guest chat. Copy this and fill the brackets:
| Section | What goes in it |
|---|---|
| Your name and party | [Names, ages of children] |
| Visa | [Check with your airline or the UAE embassy; passport valid 6 months from entry] |
| Flights | [Flight number, date, airport, terminal] |
| Pickup | [Name board in arrivals; chauffeur’s WhatsApp sent before landing] |
| Hotel | [Name, address, check-in time] |
| Shuttles | [Pickup point, first and last departure for each event] |
| Free day | [Two tour options and the booking date] |
| Departure | [Pickup time: 3 hours before the flight plus the drive] |
| Contact | [One WhatsApp number for the whole trip] |
Keep it to one page. Guests lose the third message in a chat, so pin the sheet.
Backup plans for flight disruption
Disruption is part of the plan. Three habits help:
- Collect the flight number, not just the time. Pickups follow the real landing time, so a delay moves the car.
- Give guests one WhatsApp contact. They message when their flight changes. Guests can reach Assure on WhatsApp or by phone at any hour: +971 56 684 8148.
- Keep a spare vehicle on the arrival day. One V-Class or sedan held for stragglers costs less than a stranded grandparent.
If flights across the region are cancelled, ask Assure whether a road transfer from another airport suits the guests affected. Read the wedding transport hub for the full planning picture.
