How do you organise airport pickups for 50 or more wedding guests?
Wedding guest airport transfers in Dubai are hard to plan because fifty guests rarely share a flight. They fly in from several cities over 2 or 3 days, and some land at Sharjah or Abu Dhabi instead of DXB. The job is to sort those landings into pickups, then give each pickup a vehicle, a chauffeur and a name board.
- Pick one coordinator. One person from the family or the planner holds the guest list and sends every change. When two relatives edit it, one guest gets two cars and another gets none.
- Ask for flights with the RSVP. Chase the missing ones about 2 weeks before the first guest lands.
- Sort the sheet by airport, terminal and landing time. At DXB, Terminal 2 is a separate building north of Terminal 1, so a guest at Terminal 2 is never part of a Terminal 3 pickup.
- Turn each cluster into one vehicle. The grouping rules are further down this page.
- Send the sheet to Assure on WhatsApp. The quote lists every pickup with its vehicle, and the confirmation names the car for each flight.
- Tell each guest what to expect. Their chauffeur sends the exact meeting point on WhatsApp, so the number on the sheet must work in the UAE on landing.
Airport arrivals are one part of the week. The wedding transport hub covers the couple’s car, the venue legs and the guest shuttles. The destination wedding travel plan covers hotels, visas and the days around the ceremony. For an Indian wedding, the baraat transport guide plans the groom’s procession and the guest vans on the day.
The flight sheet: what to collect from every guest
| Column | Why the chauffeur needs it |
|---|---|
| Name for the board | The chauffeur holds this in arrivals. Use the name the guest will look for, with the family name. |
| Flight number and date | The pickup follows the real landing time, so a 40-minute delay does not leave a car waiting at the wrong hour. |
| Airport and terminal | Read it from the e-ticket. flydubai’s home is Terminal 2, but some of its flights use Terminal 3. |
| Adults, and children with ages | The RTA and Dubai Police require a child seat for under-4s. Children aged 10 or under, or under 145 cm, may not ride in the front. |
| Large cases and garment bags | Count a lehenga, sherwani or wedding dress in a garment bag as one large case, and the same for a box of wedding gifts. |
| Wheelchair or slow walker | Dubai Airports says wheelchairs are booked through the airline. The note also tells the chauffeur to keep the walk to the car short. |
| Hotel or home address | One drop-off per pickup. Two hotels on one run adds a stop, and the first guest rides the long way round. |
| WhatsApp number | The chauffeur messages the meeting point here before the guest reaches the arrivals hall. |
Here is part of a sample sheet for one Thursday morning:
| Who | Lands | Airport and terminal | Guests | Large cases | Note |
|---|---|---|---|---|---|
| Bride’s grandparents | 06:40 | DXB Terminal 3 | 2 | 2 | VIP, wheelchair booked with the airline |
| Groom’s cousins | 07:20 | DXB Terminal 3 | 4 | 4 | Same hotel as the grandparents |
| Bride’s university friends | 07:05 | DXB Terminal 2 | 3 | 3 | |
| Uncle’s family | 09:30 | Zayed International, Abu Dhabi | 5 | 4 | Children aged 3 and 7 |
The first two rows land 40 minutes apart at one terminal and go to one hotel. On seats alone they fit a single 6-seat van, but 6 large cases is more than a V-Class takes. The grandparents also should not wait 40 minutes in the hall. So they get a sedan and a personal welcome, and the cousins take a V-Class.
The friends land at Terminal 2, so they get their own car even though their flight lands between the other two. The uncle’s family of 5 takes a V-Class, with a child seat for the 3-year-old in one of its 6 seats. They face the longest drive of the morning.
DXB Terminals 1, 2 and 3: where do chauffeurs wait with name boards?
At all three terminals the chauffeur stands in the public arrivals hall, after customs, holding the name board. Dubai Airports has no pick-up area at arrivals. The car waits in the terminal car park, and the chauffeur walks the guest there with the bags.

| Terminal | Who lands there | Where the board is | Walk to the car park (Dubai Airports figures) |
|---|---|---|---|
| Terminal 1 | More than 50 international airlines, with the D Gates reached by airport train | Arrivals hall, after customs | Car Park A: 2 to 3 minutes; Car Park B: 7 to 9 minutes |
| Terminal 2 | flydubai, plus some 21 airlines in all | Arrivals hall, after customs | Car Park A: 3 to 5 minutes; Car Park B: 10 to 12 minutes |
| Terminal 3 | Emirates, plus some flydubai, United and Air Canada flights | Arrivals hall, after customs | 2 to 3 minutes from every level |
Mark a grandparent as a slow walker on the sheet, so the car can be parked in Car Park A at Terminals 1 and 2. A 10-minute walk from Car Park B at Terminal 2 is long after an overnight flight.
Families can take longer at passport control. Dubai Airports sends families with children, People of Determination and guests with large strollers to the staffed counters, not the smart gates. Terminal 3 has 72 arrival immigration counters and 40 smart gates. Even so, expect a family of 5 in the hall later than a resident cousin on the same flight.
Emirates flights land at Terminal 3. The Terminal 3 arrivals guide follows the walk from the A Gates train to the arrivals hall and the car park.
When guests land at DWC, Sharjah or Abu Dhabi
Not every guest lands at DXB. A direct flight from a smaller city can bring cousins into one of three other airports. Each one changes the drive to the venue. The airport transfers page lists every UAE airport Assure collects from.
| From the airport to | Downtown Dubai | Dubai Marina | Palm Jumeirah |
|---|---|---|---|
| DXB | about 18 km, 27 min | about 37 km, 42 min | about 37 km, 43 min |
| DWC | about 49 km, 51 min | about 32 km, 38 min | about 38 km, 42 min |
| Sharjah (SHJ) | about 39 km, 34 min | about 58 km, 50 min | about 58 km, 50 min |
| Zayed International (AUH) | about 115 km, 1 h 17 min | about 95 km, 1 h 3 min | about 101 km, 1 h 7 min |
Times are free-flow road times from OSRM on OpenStreetMap data, averaged over both directions. Weekday rush hours add time, most of all between Sharjah and Dubai.
Al Maktoum International (DWC)
DWC works like DXB at the kerb. Its FAQ says there are no dedicated pick-up areas at arrivals, so cars wait in the car park, and parking is free for everyone. For a wedding at a Dubai Marina hotel, DWC is about 5 km nearer than DXB. For a Downtown venue it is 31 km further. Our DWC airport pickups page covers the terminal.
Sharjah International (SHJ)
Sharjah Airport has a dedicated meet and greet area for people collecting passengers. It also sells a paid welcome permit through its Al Diyafah service, so a named relative can meet a guest at baggage claim. Request it 6 hours before the flight. For a grandmother flying alone, that means a familiar face at the belt and the chauffeur with the board in the hall. See Sharjah Airport pickups for the rest.

Zayed International (AUH), Abu Dhabi
Passenger flights at Zayed International moved into Terminal A from 1 November 2023, and the terminal was fully running from 15 November. Your chauffeur waits in the Terminal A arrivals hall with the name board. A guest bound for a Yas Island venue is about 19 km away. For a Palm Jumeirah wedding, the same guest faces more than an hour on the road. Our Zayed International pickup page covers Terminal A in detail.

Grouping arrivals: when does a van beat three cars?
Put guests in one vehicle when three things line up:
- The flights land at the same terminal.
- They land within about 60 minutes of each other.
- The guests go to the same hotel, or to two hotels on one road.
If any of the three fails, separate cars are kinder. The first guest to land should not sit in the hall for more than an hour after a long flight.
| Guests in the pickup | Vehicle | Large cases with every seat full |
|---|---|---|
| 1 to 3 | Lexus ES 300h, Mercedes-Benz S-Class or BMW 7 Series | 2 |
| 4 to 6 | Mercedes-Benz V-Class | 4 |
| 4 to 6, travelling light | Kia Carnival or Citroen SpaceTourer (3 cases), Hyundai Staria (2 cases) | 2 to 3 |
| 7 to 13 | Mercedes-Benz Sprinter, 13 seats | 6 |
| 14 to 19 | Mercedes-Benz Sprinter, 19 seats | 3 |
| 20 to 22 | Toyota Coaster, available through our partner network, subject to availability | Cabin bags only |
| 23 to 50 | 35 or 50-seat coach, available through our partner network, subject to availability | 15 or 35 |
The figures are Assure’s estimates for a full load, so send the exact case count. The 19-seat Sprinter catches people out: it takes 19 guests but only 3 large cases. A wedding party of 19 with a case each needs a second van for the luggage, or two 13-seat Sprinters.
The arithmetic for a van:
- 3 sedans: 9 guests, 6 large cases, 3 chauffeurs, 3 name boards.
- 1 V-Class: 6 guests and 4 cases, the same load as 2 sedans with one chauffeur.
- One 13-seat Sprinter: 13 guests and 6 cases with one chauffeur and one board, for a whole flight of cousins.

Our van and group transport page lists each van’s seats and luggage. For a family flight of 8 or more, see the minibus rental options. The guide to group arrivals at DXB covers conference and tour groups with the same logic. Once guests are at their hotels, the wedding guest shuttle guide plans the runs to the venue.
VIP welcome for parents, grandparents and elders
Write “VIP” next to the name on the sheet, and say how the board should read. Assure chauffeurs welcome VIP guests personally in the arrivals hall, then walk them to the car with the bags.
The chauffeur cannot go past customs, because the gate and reclaim are airside. For help inside DXB, book marhaba as well. Depending on the tier:
- A host meets the guest at the arrival gate and escorts them through the fast-track immigration counter.
- A porter helps at baggage reclaim, and a buggy is offered on request where permitted.
- marhaba fast-tracks groups of no more than five travellers, so a larger family needs more than one booking.
Send the marhaba booking with the flight sheet, so the chauffeur waits at the same meeting point. The Dubai Airport meet and greet explainer compares marhaba’s tiers with a chauffeur pickup.
For guests who need help on the airside:
- Wheelchairs: Dubai Airports says to book them through the airline, and early.
- Hidden disabilities: the special assistance desk hands out Sunflower lanyards, and there are special lanes at every checkpoint and counter.
- Sharjah: the baggage claim welcome permit lets a son or daughter wait at the belt.
For the couple’s parents, a Mercedes-Benz S-Class or BMW 7 Series comes from Assure’s own fleet. A Rolls-Royce is available through our partner network, subject to availability. Book it through wedding car hire if the same car will also carry them on the wedding day.
Delays, lost bags and late-night landings
Delays. Send the flight number, not just the landing time, because the pickup follows the real arrival. If a guest misses a connection and rebooks, the coordinator sends the new flight number on WhatsApp. Free waiting time after landing is stated in the quote.
Lost bags. Dubai Airports tells passengers to contact their airline’s baggage services department, which files the claim and traces the bag. Do this at reclaim, before walking out, and give the hotel address for delivery. Then message the chauffeur, so they know why the guest is late into the hall. Ask guests to pack the wedding outfit in their hand luggage.
Late-night landings. The Dubai Metro Red Line serves Terminals 1 and 3. It runs from 5 am to midnight Monday to Thursday and Saturday, to 1 am on Friday, and from 8 am to midnight on Sunday. Each rider may carry only 2 pieces of luggage, hand luggage included. A grandmother landing at 2 am with 3 cases needs a car. Our line is open round the clock on WhatsApp and phone, +971 56 684 8148.
The flights home. Dubai Airports asks passengers to arrive at least 3 hours before departure. On the morning after the wedding, plan the airport runs back from each flight on the same sheet.
