Wedding guest shuttles in Dubai: vehicle sizes, loop timings and what affects the price

Size wedding shuttles from each hotel's headcount, not the guest list. A 50-seat coach clears a large hotel block in one run, a Mercedes Sprinter takes 13 or 19, and a loop every 20 to 30 minutes covers guests who leave at different times. Assure quotes the vehicles, loop and final departure on WhatsApp.

How many shuttles does a wedding need?

A wedding needs as many shuttle seats as the biggest hotel block, not as many as the guest list. Fifty guests at a hotel on the Marina and 30 at a hotel in Downtown are two pickup points, and they do not share a vehicle.

Work through four numbers for each hotel:

  1. Guests who will use the shuttle. Subtract anyone driving, and anyone going with the couple.
  2. Seats per vehicle. See the table below.
  3. Runs. Guests divided by seats, rounded up.
  4. Departures. One if everyone leaves together, several if it is a loop.

Take a 120-guest wedding where 90 stay in one hotel. Two 50-seat coaches clear it in one departure. If the budget allows one coach, two runs 25 minutes apart do the same job.

Vehicle sizes: Hiace, Sprinter, Coaster and 50-seat coaches

Seat and case counts are Assure’s working figures, so send the exact numbers for your group. Toyota UAE sells the HiAce as a 13-seater, and we list 12 passengers, the cautious figure. Ford’s refreshed Transit is offered in the UAE in 15 and 18-seat bus versions, and we list 14.

The 19-seat Sprinter is the one that catches planners out: 19 guests but only 3 large cases. On a wedding night guests carry gifts and garment bags, so count them.

Every guest needs a seat. The traffic schedule fines seat belts not worn by the driver or any passenger at AED 400, with 4 black points. A vehicle with 22 seats carries 22 guests, not 25.

See our pages on minibus rental, bus rental and van and group transport for each class. For a wider view of sizes, read the guide to what size of bus group transport needs.

One-way drop or loop service: which fits your night?

One-way drop. All guests ride to the venue together before the ceremony, then a vehicle returns at the end. It suits a ceremony with a fixed start, such as an afternoon nikah or a church service.

Loop service. Vehicles run hotel to venue and back all evening. It suits a reception, mehndi or sangeet, where guests arrive and leave at different times.

The loop maths is simple. One round trip is twice the drive time plus loading time at both ends, about 10 minutes each. For example, from the Dubai Marina to a Palm Jumeirah venue, allow a 25-minute drive each way in our worked example:

  • Round trip: 25 + 25 + 10 + 10 = 70 minutes.
  • One 50-seat coach on this loop leaves a hotel every 70 minutes.
  • Two coaches, offset, leave every 35 minutes.
  • Three coaches leave every 23 minutes, which is the 20 to 30 minute gap guests tolerate.

So the loop length tells you the number of vehicles. The longer the drive, the more vehicles you need to keep the gap short. Free-flow times from OSRM (OpenStreetMap) are only a base: DXB to Dubai Marina is about 37 km in 42 minutes, and an evening trip takes longer. We have not recorded evening-peak times for named hotel pairs, so ask Assure to check yours.

Pickup points at hotels: lobbies, coach bays and signs

Agree three things with each hotel’s events team:

  • Where the vehicle stops. Main entrance, a coach bay or a side forecourt. We could not confirm bay rules for named hotels.
  • How long it may wait. Ask whether a coach can stay at the bay between runs.
  • Who stands in the lobby. One named person per hotel with the list and a phone.

Put a sign in the windscreen with the wedding name and “Wedding shuttle”. Send guests the pickup point, the first departure and the last, on WhatsApp. If a hotel is shared with other events, add the colour or table card guests will see.

The last run: setting a final departure time

The last departure is the most important number on the sheet. Pick it with the venue’s end time, then add 30 minutes for guests still at the dessert table. Print it on the sheet.

  • Tell guests the last departure time in two places, the invitation and the venue.
  • Keep one vehicle at the venue until the last guest leaves.
  • Hold one sedan or V-Class back for stragglers after the last coach.

If the last guest leaves later than the last run, they need a taxi. A wedding that ends at midnight with a 1 am last coach does not.

Elderly guests and wheelchair users

Seat elderly guests first, near the door, and keep them off the long loop. A sedan or V-Class with a short walk to the entrance is kinder than a 50-seat coach with steps.

We have not confirmed wheelchair-accessible vehicles in the fleet. Tell Assure early so we can confirm for your date. The RTA and Dubai Police also require a child seat for children under 4, and no front seat for children aged 10 or under or under 145 cm, so list children and their ages.

What affects the price of a guest shuttle?

Assure quotes the whole vehicle, not a seat. We do not publish a rate. These are the factors:

  • The vehicle size and how many.
  • The distance from each hotel to the venue.
  • The hours, from the first pickup to the final return.
  • A one-way drop or a loop.
  • Night hours and public holidays.
  • Waiting time between runs.
  • Salik tolls and parking.

For a quote, send the hotels, the venue, the headcounts and the times to Assure on WhatsApp. The rest of the day, including the couple’s car, sits in wedding car hire. If you want a limousine service for the family, it is a separate line on the same quote.

How many cars and shuttles you need: the loop calculation

Use this checklist before you send the numbers:

  • Couple: 1 chauffeur car.
  • Parents and close family: 1 car per 3 or 4 people, or 1 V-Class for 6.
  • Hotel guests: seats at least equal to the biggest block, per departure.
  • Loop: vehicles equal to the round trip divided by the gap you want.
  • Backup: 1 sedan or V-Class held at the venue.

Then see how airport arrivals feed in, in airport pickups for wedding guests. The destination wedding guest travel plan shows how to send guests one sheet. If a planner is coordinating, read the wedding planner transport partner guide, and for events beyond weddings the how many vehicles for a group event guide.

Questions and answers

How many shuttles does a wedding need?

Start from each hotel's headcount. Divide guests by the seats in your chosen vehicle, round up, then add one run for each time you want guests to leave. A hotel block of 80 needs two 50-seat coaches for a single departure, or one coach doing two runs. Local guests who drive themselves do not count.

How much does it cost to rent a 20 seater bus in Dubai?

Assure prices the whole vehicle, not the seat, and does not publish a fixed rate. A 19-seat Sprinter for a wedding loop is quoted on the hours, the distance, the time of day, waiting, Salik tolls and parking. Send the venue, the hotels and the times on WhatsApp and the written quote comes back.

What size of bus is best for a wedding?

It depends on the biggest hotel block. A Sprinter seats 13 or 19, a Toyota Coaster 22, and coaches 35 or 50. Mixed fleets work best: one coach for the main departure, a Sprinter for stragglers. Assure's Sprinters are its own fleet. Coaches come through our partner network, subject to availability.

Is a loop service better than a one-way drop?

A one-way drop suits a ceremony where everyone arrives together. A loop suits a reception, because guests leave when they like. On a loop the vehicle shuttles hotel to venue and back every 20 to 30 minutes until a fixed last departure. The longer the drive, the fewer runs one vehicle completes.

How many cars do I need for a wedding?

Count by role. The couple need one chauffeur car, close family one car per three or four people, and guests a van or coach. A V-Class seats 6 and takes 4 large cases. For a 100-guest wedding with 70 staying at hotels, two 50-seat coaches or a coach and a 19-seat Sprinter will usually cover the hotels.

Can shuttles carry elderly guests and wheelchair users?

Ask us to confirm for your date. We have not confirmed wheelchair-accessible vehicles in the fleet, so tell Assure early. Meanwhile, place elderly guests in a V-Class or sedan with a short walk, put them first in the loop and ask the venue for the closest drop-off to the entrance.

Where do shuttles pick guests up at a hotel?

At a spot the hotel agrees: the main entrance, a coach bay or a side forecourt. Ask the hotel's events team which one a coach can use, because we could not confirm bay rules for named hotels. Put a sign on the vehicle, send the meeting point to guests and have a coordinator in the lobby.
